Terms & Conditions

ZENSOMA STUDIO LIMITED
Effective Date: January 2026


Please take the time to read these Terms & Conditions (“Terms”), which outline your rights and obligations as a client of Zensoma Studio (“Zensoma”, “we”, “us”, or “our”). These Terms apply to all individuals who access our website, attend our studio, or use any services offered by Zensoma Studio, including but not limited to reformer Pilates classes, private sessions, workshops, and events.

 

By booking or attending any class or service at Zensoma Studio, you confirm that you have read, understood, and agreed to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our services. We reserve the right to amend these Terms at any time. Updated Terms will take effect immediately upon publication. Continued use of our services constitutes acceptance of any revised Terms.

1. GENERAL TERMS
a. Studio Guidelines
All clients must comply with studio rules and follow reasonable instructions given by instructors or staff at all times.
b. Health Declaration & PAR-Q
All clients are required to complete a Physical Activity Readiness Questionnaire (PAR-Q) or health declaration prior to attending their first session at Zensoma Studio.
This information allows us to ensure your safety during classes. If you choose not to complete a PAR-Q, you acknowledge that it is your responsibility to ensure you are fit and able to participate in physical activity.
You must inform your instructor of:

  • Any injuries

  • Medical conditions

  • Pregnancy

  • Recent surgeries

  • Any changes to your health status

By participating in classes, you confirm that you are in good physical condition and agree to follow all instructions and safety guidance provided. If at any point you feel unable to continue, you must stop immediately.
c. Contact Information
Clients are responsible for ensuring their contact details are accurate and up to date. Changes must be provided in writing.
d. Right of Admission
Zensoma Studio reserves the right to refuse entry, suspend access, or terminate services at our discretion in order to maintain the safety, comfort, and ethos of the studio.
e. Third-Party Rights
These Terms apply only to the registered client. No third party may enforce any provision of this agreement.
f. Communication
Email communication is accepted but cannot be guaranteed to be secure or received within a specific timeframe.
 
2. BOOKINGS & CANCELLATIONS
a. Booking System
All classes must be booked in advance through Zensoma Studio’s online booking system.
b. Booking Window

  • Single classes and class packs may be booked up to 14 days in advance

  • Monthly members receive priority booking up to 16 days in advance

c. Class Packs & Validity
Class packs are valid for two (2) months from the date of first use unless otherwise stated.
Class pack credits are non-transferable and non-refundable.
Extensions may be granted only in cases of illness or injury, supported by a medical note, and at the discretion of Zensoma Studio.
d. Introductory Offers
Introductory offers are available to new clients only, limited to one per person, and are non-transferable and non-refundable.
e. Class Cancellations & Late Arrivals

  • Cancellations made 12 hours or more before class: credit returned

  • Cancellations made less than 12 hours before class or no-shows: credit forfeited

  • Late arrivals of 5 minutes or more will not be admitted, and the class credit will be lost

f. Monthly Membership Cancellations
Monthly memberships (including 1-month and 3-month options) require 14 days’ written notice prior to the renewal date.

Direct debit payments will continue until written cancellation is received. Cancelling through your bank does not terminate your membership.
g. Waitlists
Joining a waitlist requires a valid class credit or active membership. If you are added to a class from the waitlist and fail to cancel within the cancellation window, the credit will be deducted.
h. Refunds
Zensoma Studio does not offer cash refunds. Credits may be issued at our discretion where required by law.
 
3. MEMBERSHIPS & PAYMENTS
a. Purchases
All purchases, including memberships, class packs, gift cards, and promotional offers, are non-refundable and non-transferable, except where required by law.
b. Unused Classes
Unused classes are forfeited and non-refundable.
Monthly membership classes do not roll over into subsequent months.
c. Pricing
Prices are subject to change and will be displayed online or in-studio.
d. Membership Payment Terms
One-Month Membership

  • Billed monthly from the date of purchase

  • Automatically renews until cancelled in accordance with cancellation terms

Three-Month Membership
•    Minimum commitment of three (3) months
•    Billed monthly
•    Automatically renews for further three-month terms unless cancelled correctly
e. Membership Freezes
After a minimum of six (6) months of active membership, a freeze of up to one calendar month may be granted with written notice, subject to approval.
 
4. STUDIO ETIQUETTE & SAFETY

  • Fitted activewear is recommended

  • Grip socks are mandatory

  • Equipment must be cleaned after use

  • Personal belongings are brought at your own risk

  • Storage is available but Zensoma Studio is not responsible for loss or damage

Minimum Age
Clients must be 16 years or older. Clients under 18 require written parental or guardian consent.
Fire Safety
Fire exits must remain clear at all times. Follow staff instructions in the event of an emergency.
Pets
No animals are permitted inside the studio.
 
5. MEDIA & COMMUNITY
Zensoma Studio may photograph or film classes for marketing and promotional purposes. Please inform your instructor if you do not wish to appear.
Personal photos or videos may be taken for personal use only, with respect for other clients’ privacy.
 
6. WAIVER & RELEASE OF LIABILITY
All clients must sign a Zensoma Studio Waiver prior to participation.
By signing the waiver and attending classes, you acknowledge:

  • The inherent risks of physical exercise

  • That you voluntarily assume all risks

  • That Zensoma Studio is not liable for injury except in cases of proven negligence

  • That you are responsible for your own health and wellbeing

  • That you consent to emergency medical treatment if required

Failure to sign the waiver will result in denial of participation.
 
7. LIMITATION OF LIABILITY
Zensoma Studio is not responsible for:

  • Service interruptions

  • Personal injury, illness, or death unless caused by proven negligence

  • Loss, theft, or damage to personal belongings

Clients participate entirely at their own risk.
 
8. INTELLECTUAL PROPERTY
All content, branding, text, logos, and materials are the intellectual property of Zensoma Studio and may not be reproduced without written consent.
 
9. THIRD-PARTY SERVICES
Any third-party services offered within the studio operate independently. Zensoma Studio accepts no liability for agreements entered into between clients and third parties.
 
10. TERMINATION
We reserve the right to suspend or terminate access to our services or website at any time, with or without notice.
 
11. GOVERNING LAW

These Terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of UK courts.
 
12. CHANGES TO TERMS
Zensoma Studio may amend these Terms at any time. Continued use of services constitutes acceptance of the updated Terms.
 
13. FORCE MAJEURE
Zensoma Studio shall not be liable for delays or failure to perform due to events beyond reasonable control, including but not limited to natural disasters, government restrictions, pandemics, strikes, or power failures. Credits may be issued at the sole discretion of Zensoma Studio.
